Administration Manager: Warehouse Operations (Bellville)
OVERALL, PURPOSE OF THE JOB
- To oversee and optimise day-to-day business operations to ensure efficiency, compliance in the warehouse and distribution, and manage expenses within the budget.
DUTIES AND RESPONSIBILITIES OF THE ROLE:
Responsible for operations administration management.
- Co-ordinate the operational plan within the budget.
- Co-ordinate with operational managers and teams to ensure strategic objective are met.
- Develop monthly and yearly employee, training & capex budgets in line with company objectives.
- Support efforts to improve profitability.
- Manage expenses & capex within the set budget.
- Reconciliations on financial statements.
- Provide administrative internal support.
Responsible for Supply Chain management.
- Setting up minimum standard and requirements for the RFQ process.
- Accurate assessment of office and warehouse needs. Procurement and distribution of office and warehouse supplies- includes monitoring the use and need of supplies.
- Handling of all Bellville branch purchase requests, purchase orders, invoice approval, vendor management, and contract management.
- Identify reliable suppliers and negotiate contracts with service providers.
- Monitor SLA agreements and implement the procurement activities to capitalize on cost saving opportunities.
- Implement vendor performance evaluation systems.
Oversee operational efficiency.
- Process Improvement: Conduct regular reviews of operational processes to identify inefficiencies, Analysing key performance indicators (KPIs) and Implementing continuous improvement.
- Resource Optimisation: Optimise the allocation of resources, including labour and equipment.
- Inventorying, analysing, planning, coordinating, using, and tracking all tools and elements available.
Sales and Marketing support.
- Support the companies’ sales & marketing plan and activities.
- Assist marketing department with ad hoc request.
- Provide project support and arrange functions where required for the commercial management and sales team.
Responsible for Compliance and Risk management.
- Identify potential operational risks and co-ordinate mitigation action plans.
- Implement robust contingency plans for supply chain disruptions.
- Ensure sufficient budget in place for supply chain disruptions.
Requirements
Experience:
- 5+ years of progressive experience in operations/administration management, preferably within the wholesale & distribution or related industries.
- Proven track record of successfully managing budgets in the supply chain processes, procurement, warehousing, and distribution operations.
- Experience in basic accounting, budgeting, and controlling expenses.
Qualification: Bachelor’s degree in Business Administration or a related field.

Key Responsibilities:
- Operational Planning and Execution:
- Develop and implement operational plans aligned with company objectives and strategic goals.
- Coordinate with department heads to ensure seamless execution of operational activities.
- Monitor performance metrics and KPIs to track progress and identify areas for improvement.
- Assess resource requirements for operational activities, including personnel, equipment, and materials.
- Allocate resources efficiently to optimise productivity and minimise costs.
- Establish standardised processes and procedures to streamline operational workflows.

- Regularly review performance metrics to identify trends, deviations, and areas for improvement.

Sales Management:

- Establish and maintain relationships with key clients and partners to enhance sales opportunities.
- Develop sales forecasts and budgets in collaboration with the sales team.
- Monitor customer feedback and market trends to adjust sales strategies accordingly.
- Participate in sales meetings and presentations to potential clients and stakeholders.
- Analyse competitor activities and market conditions to develop competitive sales strategies.
- Ensure alignment of sales activities with overall company objectives and targets.
- Evaluate the effectiveness of sales strategies and make adjustments as necessary to optimise results.
Customer Satisfaction:
- Analyse customer feedback to identify areas for improvement and address any issues or concerns.
- Implement strategies to enhance customer experience and loyalty, such as personalised service and after-sales support.
- Collaborate with relevant departments to resolve customer complaints and ensure timely resolution.
- Provide training and support to frontline staff to deliver exceptional customer service.
- Regularly communicate with customers to keep them informed about new products, services, and promotions.
- Monitor industry trends and best practices in customer satisfaction to continuously improve strategies and processes.
- Develop and maintain relationships with key customers to understand their evolving needs and preferences.

- Lead and inspire a diverse team of operational staff across all departments to achieve organisational goals and objectives.

Quality Assurance and Control:
- Implement quality assurance processes to maintain product and service standards,

Health and Safety Management:
- Develop and implement occupational health and safety policies and procedures,
- Ensure compliance with safety regulations and promote a culture of safety awareness,

Requirements
- At least 7 years of experience in operational management roles within the agriculture or manufacturing industry
- Proven track record in optimising operational processes and driving efficiency.
- Strong leadership experience in managing diverse teams and fostering collaboration.
- Relevant bachelor’s degree preferred)
- Additional certifications in operations management or related fields are advantageous.

- Execute general cleaning functions of the yard, bins, containers, silo, building and bunkers.
- Contact spraying for pest control in silo bins, machines and buildings.
- Assist with bin and storage fumigation.
- Bagging, storage and monitor graded screenings.
- Loading and off-loading of grain (bulk and bags).
- Assist with maintenance work.
Requirements
- No experience required.
- Grade 10 (Candidates with a National Senior Certificate will receive preference)
- Great communication skills.
- Basic knowledge of grain industry.

- 1 Year relevant experience at a Silo.
- National Senior Certificate.
